How to Create Availability Checks

You can use an availability check to ask a worker if they are available for a specific period. This may sound something like: “Hi, this is Nowsta. Are you available to work an event on February 5th from 2:00 pm-7:00 pm?” 

 

Considerations

After you have created an availability check, you can not edit or delete it. If you want to check availability for a different time or date range, you will need to create a new one. 

 

How to create an Availability Check

To get started, click the calendar view and select "Check Availability" in the upper right corner. You'll be prompted to fill in details like the time and date, who you'd like to send the request to, and an optional message to the workers. 

 

You also can add a Title to the Availability Check and select to either display that title or hide it from the workers.

 

 

After an availability check is sent, workers can be in Available, Responses pending, or Unavailable status.

 

Available: indicates the worker received your message and stated they are available for the period specified in your Availability Check.

 

Responses Pending: indicates the worker was asked but has not yet responded to your Availability Check.

 

Unavailable: indicates the worker received your message and stated they are unavailable for the period specified in your Availability Check.

 

When you create and send an availability check to workers, you'll notice a blue tile appears on your calendar with three different square shapes at the bottom. The square shapes correspond to the different statuses listed above, and you can hover over them to see the labels. 

 


Select the blue tile to expand the response list to see who responds to the Availability Checks. You can also select an Empty Shift within an event to see who is available when the availability request time overlaps with a scheduled event for that day. The image below shows where you'll look to see the availability status.

 


On the Multi-Event View page, you could take advantage of the Custom Availability feature. Choose Availability Check at the top to reveal the Custom Availability section. 

 

In that section, enter the date and times you would like to see if employees are available and/or confirmed. Then, scroll down the employee list to see if they are available (appear in Blue) or if they are confirmed (appear in Green).
